The Viva Engage and Goals team is seeking a Redmond based administrative professional to support our Goals senior leaders and our local E+G team. Job Description
• Outlook calendaring and scheduling + active to-do list to help keep assigned leaders (2-3) on top of their schedules and deadlines.
• Performs a variety of administrative functions for all levels of the Viva Engage + Goals team including external business partners on occasion.
• Local Redmond team member onboarding/off-boarding and location orientation, POC for each facility operations and logistics to include space and storage rooms.
• Manages procurement of goods and services including computer equipment, office supplies, SWAG, reference materials, and vendor relationships, event support on occasion.
• Provides general office support and backup support to the admin team. Serves as the department/group contact for Goals and Engage when needed.
• Attends admin/COS team meetings to contribute and coordinate for location-based partners and requirements.
• Completes special projects as assigned and available.
• Working across sites (Bay Area, Vancouver, Redmond), experience working with remote teams will be needed.

Role Specifics
• This is an onsite role based in Redmond, Microsoft building 32. Flexibility may be provided on occasion where there is a need from the admin, team, or manager and the terms are agreed upon in advance. This is not a fully remote or scheduled remote position.

Job Requirements

• Years of Experience Required – 2-4+
• Degrees or certifications required – None required
• Disqualifiers – Unable to be onsite on scheduled days. Must be a good communicator, accountable, follow though, and have positive interactions with the team and partners. Candidates must have skill with MS Office products and not just their Google equivalents.
• Best vs. Average – The best candidate has previous experience supporting a hybrid team. Having experience with supporting a large team, some event planning knowledge, and leading projects experience would be ideal.
• Performance Indicators - Level of meeting deadlines, follow through, level of service to who they are supporting. Collaborating with others successfully.

1. 2+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, calendar management, and administration work for executive/upper-level management.
2. 2+ years of experience with Microsoft Outlook, Word, Excel, PowerPoint. Additional Preferred Qualifications: Internal MSFT Tools, SharePoint, OneNote and Teams.
3. 1+ year(s) experience reviewing and managing administrative budgets (e.g., for expenses, events, morale, travel, training)

Typical Day in the Role

• Typical task breakdown and operating rhythm – 70% goals/leader focused, remainder is ad hoc team support
• Interaction level with sponsor/team – Highly Interactive – 1:1s with 2 leaders and sponsor, bi-weekly business Ops meeting, not a lot of meeting overhead. Frequent Teams channel chats
• Chance for extension later? – Budget approved through 6/30/24, however finance would like a new PO for Q3+4. Will possibly extend into FY25 pending budget approvals and need.
• Expected working hours – Standard 40 hours/week no OT, but somewhat flexible, potentially available for candidates that prefer working 6 hours per day or 30 hours/week.
