Job Description

The main function of an events coordinator is to manage event logistics and operational/administrative work such as DL management, SharePoint site management and communications in the area of onboarding and newsletter.

Key Responsibilities:
• Manage event logistics from end-to-end. Coordinate catering and onsite logistics for meetings & events. Work with the Facilities to reserve meeting/event space, prepare meeting settings, assist with lobby check-in as needed. Meetings/events are held across three offices within NYC, based on availability and the needs of each meeting/event.
•Manage weekly onboarding communication to the employees who are new to the NYC Engineering + Research Community.
•Maintain SharePoint Site - maintain calendar of events and keep content current.
• Create and maintain newsletter, this will be a new item to develop
• Manage and deliver actionable items as they arise on a daily basis.
General operational/admin support such as supporting and providing guidance to employees, including but not limited to corporate policies, procurement, recruiting and onboarding, space and facilities. Assisting with special projects as needs arise.

Skills:
• Verbal and written communication skills, multi-tasking, customer service skills and interpersonal skills.
• Ability to work independently and manage one’s time.
• Ability to keep information organized and confidential.
• Previous experience with computer applications, such as Microsoft Word, Excel and PowerPoint.

Education/Experience:
• High school diploma or GED required.
• 5-7 years experience required.

• Years of Experience Required: 4-6 overall years of experience in the field.
• Degrees or certifications required: n/a
- Disqualifiers: Someone who was only responsible for ordering supplies, counter manager, organizing an office- basic admin duties. We need someone more hands-on, and events driven.

1. Minimum 2- 4+ years MSFT office experience
2. Minimum 1-3 years SharePoint experience
3. Minimum 3 years events management experience

Typical Day in the Role

• Purpose of the Team: The purpose of this team is: GMS Global HQ – The team hosts events in 3 different cities – responsible for delivering on employe engagement, outreach and operations, etc. Sponsor sits in cloud and AI space.
- Key projects: This role will contribute to Events hosting, newsletter releases, calendaring, procurement responsibilities in the future.
- Typical task breakdown and operating rhythm: No typical day, it varies greatly
• Includes calls, events, meetings
